Payroll cost breakdown
Employer share is the school's cost on top of gross pay. Employee share is deducted from pay.

Employee master list
Base salary is the monthly basic pay. It drives daily rate, statutory contributions and tax.
| Name | Type | Position | Date hired | Basic salary | Rate basis | Daily rate (incl. allowances) | Status | Actions |
|---|
Daily attendance
| Employee | Type | Status | Set status | Late / undertime (min) |
|---|
P = Present · A = Absent (unpaid) · ½ = Half day · L = Paid leave. Minutes typed in the last column are saved as tardiness for that day and appear in the Lates tab. Typing a figure — including 0 to excuse a lateness — overrules the time clock for that day and is kept. Clear the box to hand the day back to the clock.
Days staff have typed in
A member of staff can record a day the reader missed. It counts for nothing until it is approved here. Approving writes the times into the time record below, exactly as if they had been swiped, and marks the day as recorded by them.
Time record
Four punches a day. The time clock fills these in on a swipe, and they can be corrected here. Status, lateness and undertime are worked out from them against each employee's shift.
| Employee | Shift | Morning in | Morning out | Afternoon in | Afternoon out | Worked out as | Late | Undertime |
|---|
Needs checking
Days where somebody punched in but not out, or out but not in. These are never charged undertime automatically — nobody knows when the person actually left, so the missing time is left for you to settle.
| Date | Employee | Morning | Afternoon | What is missing |

Record tardiness
Enter the time lost in hours and minutes. The deduction is the hourly rate multiplied by the hours lost, and the hourly rate follows the same basis as absences — including allowances when that setting is switched on.

Leave requests
Filed by staff on their own screen. Teaching staff go to the Principal to recommend, then the Campus Director to approve; Admin and Support staff go straight to the Director. Approved leave is written into the leave records and attendance below on its own — paid from credits first, any days beyond the credits unpaid. Rest days and holidays are not counted.
Leave types
Set the annual credit for each staff category. Deductible leave reduces pay once credits run out.

Overtime
Hourly rate is the pay basis ÷ working days ÷ hours per day, then multiplied by the premium rate. Both the basis and the premium rates are set in Setup.

Allowance types
Mark an allowance taxable if it should be included in the base for withholding tax. De minimis benefits within BIR limits stay non‑taxable.

Cash advance requests
The Campus Director approves, and may change the amount, the months and the month deductions start. The Cashier then releases the money. Only a released advance becomes a deduction below, so nobody repays money they never received.
Loans and other deductions
Use this for SSS and Pag‑IBIG salary loans, cash advances, tardiness penalties, canteen charges and similar items. These are deducted after tax.

Process payroll
Running payroll recalculates every active employee for the selected period. Approved records are locked and skipped.

Print payslips
Lays payslips out six to a sheet on 8.5″ × 13″ paper (long bond / folio). Set your printer to that paper size, scale 100%, margins none, and switch background graphics on so the net pay bar prints solid.

13th month pay
Required by Presidential Decree 851 and payable on or before 24 December. Computed as total basic salary earned during the year divided by 12. Amounts within the tax‑exempt cap are not taxed.

Display
This setting belongs to this computer, not to the payroll, so the time clock in the hall can run high contrast while the office does not. There is also a high-contrast switch in the bar at the top of every screen, on the sign-in card, and on the time clock itself.
Attendance rules
What an unrecorded day means. These decide what comes off somebody’s pay, so read them before setting the date.
Time clock idle video
A clip to play on the kiosk when nobody has swiped for a while — a school video, an announcement reel, anything.
server.py, then press Refresh the list.
MP4 is the safest format. WebM, OGV and MOV also play if the
browser supports them.

Tick more than one and they play in turn, over and over. Tick none and the clock simply waits as it does now. A swipe stops the video at once and shows the result, so nobody is kept waiting by it.
Holiday calendar
Days nobody is expected in. Add the national holidays from the yearly proclamation, plus your own school days.
Premium pay is not computed. Working a regular holiday earns 200%, a special non-working day 130%, with further rates on a rest day or in overtime. Record those through the Overtime tab, which already carries those multipliers.

Payroll basis
These figures drive daily rate, hourly rate and every proportional deduction.
Each employee can override the working days on their own record. The figure here is only the fallback for employees left on the default.
User accounts
Who can sign in, and what each of them may do. An account can hold more than one role — in a small school one person is often both Principal and Campus Director, and sharing a password would leave no record of who approved what.

already have a login are left alone.

Shifts
Each shift is a morning session and an afternoon session. The gap between them is the unpaid meal break and is never counted as undertime. Lateness is measured from each session's start, undertime from each session's end.
| Shift | Morning | Afternoon | Grace | Work days | On it | Actions |
|---|
Add a shift
Changing a shift's times does not rewrite days already recorded. Use Recompute from the clock on the Attendance tab to apply new times to a period.
Second assignments
A separately paid job on top of somebody's salary — night classes, an ALS session, a second campus. It has its own shift, its own attendance and its own daily rate, and is paid for the days actually attended. It does not change their salary, their contributions or their 13th month, which stay based on basic pay alone.

Database
Checking where your data is stored...
Snapshots are dated JSON files kept in data/backups next to the database. The system also writes one automatically whenever a backup is restored or the database is overwritten.
Overtime premium rates
Multipliers applied to the hourly rate. Defaults follow the Labor Code minimums.
| Premium type | Multiplier | Actions |

Withholding tax table
Brackets apply to monthly taxable pay: gross, less non‑taxable allowances, less the employee's statutory contributions. Tax = base tax + rate on the amount over the bracket floor.
